DATEV Unternehmen Online: 5 steps to a 100% digital bookkeeping setup

Most clients arrive with the same frustration: they want to know where the business stands financially – but their bookkeeping only tells them on the 20th of the following month at the earliest. By then, decisions have long been made. That's exactly what DATEV Unternehmen Online (DUO) is for. Set up correctly, 90% of receipts run on autopilot and you see your numbers daily.

Below is the setup we use at GUHR. It works for agencies, e-commerce, advisory firms and smaller holdings alike – and it can be rolled out in four to six weeks.

Step 1: Clarify the document flow before everything else

Before you install a single tool, you need answers to four questions:

  • Where do receipts originate? (Email, app, POS, banks, interfaces)
  • Who checks them on the merits, who codes them, who approves?
  • Which tools are in place today and which do we want to replace?
  • Which reports do you need weekly, monthly, quarterly?

Skip these four questions and you'll rebuild your old manual process in a new UI. That's the single most common reason DATEV implementations fail.

Step 2: Configure DUO – the right modules from day one

DATEV Unternehmen Online is often used only as a document-upload tool. That's like driving a sports car to the corner shop. The full setup involves:

  • Belege Online (incoming and outgoing invoices)
  • Bank Online (PSD2 interfaces to all business accounts)
  • Auftragswesen Online (for invoicing directly out of DATEV)
  • Kassenbuch Online (if cash business)
  • Personalwirtschaft / Lohn (if employees)
  • DATEV Anwalt direkt / DMS for long-term archiving

Not every client needs every module – but the decision should be deliberate, not the result of not knowing what's available.

Step 3: Interfaces instead of duplicate entry

The biggest efficiency lever isn't DATEV itself, it's the surrounding interfaces. Three classics we set up with almost every client:

  1. PSD2 banking: all business accounts connected directly to DUO – booking entries are generated automatically, you only code the exceptions.
  2. E-commerce interface: Shopify, WooCommerce or Stripe via connector – every order is booked automatically and foreign VAT handled correctly.
  3. Invoicing tool: LexOffice, sevDesk or DATEV's own solution – outgoing invoices sync in both directions.

Step 4: Build reports you actually read

A P&L that lands unread in your inbox every month isn't useful. With every client we configure two to four KPI dashboards in DATEV that mirror their actual decision logic – e.g. pipeline vs. revenue target, 13-week cash forecast, contribution margin per customer segment.

Step 5: Pull off a clean transition

The most common mistake: running the old and the new system in parallel "until everyone gets used to it". That never happens. We set a clean cut-over: from the 1st of a quarter, everything runs in DUO and the old processes are switched off. We support the first two weeks with daily 15-minute calls.

Before: training your team (typically one day), fine-tuning permissions, dry runs with real receipts. After: the first P&L review in real time, joint debrief of what worked and what didn't.
